Who Does What? Understanding the Roles on Your Financial Team

One of the most common sources of confusion for business owners is understanding who to go to for what. Bookkeepers, CFOs, tax preparers, tax strategists, and financial planners all play important—but very different—roles in your financial life.

Think of this as your guide to building the right financial team (and knowing what questions to ask).

Bookkeeper: The Record Keeper

Primary Role: Track what already happened

A bookkeeper’s job is to record your financial activity accurately and consistently. They categorize transactions, reconcile bank and credit card accounts, and keep your books “clean.”

What they help with:

  • Recording income and expenses
  • Monthly reconciliations
  • Financial reports (P&L, balance sheet)
  • Making sure your data is tax-ready

What they don’t do:

  • Tax planning
  • Strategic decision-making
  • Investment or retirement advice

📌 Bookkeepers focus on accuracy, not strategy.

CFO (Chief Financial Officer): The Strategic Advisor

Primary Role: Guide financial decisions

A CFO looks forward, not backward. This role is about strategy, forecasting, and helping business owners make smart decisions with their numbers.

What they help with:

  • Cash flow forecasting
  • Budgeting and growth planning
  • Pricing and profitability analysis
  • Financial strategy for scaling

What they don’t do (usually):

  • Day-to-day bookkeeping
  • Detailed tax compliance

📌 A CFO helps you decide where the business is going—and how to fund it.

Tax Preparer: The Historian

Primary Role: File accurate tax returns

A tax preparer’s job is to report what already happened to the IRS and state agencies. Their focus is compliance and accuracy based on historical data.

What they help with:

  • Preparing and filing tax returns
  • Ensuring compliance with tax laws
  • Responding to notices related to filed returns

What they don’t do:

  • Proactive tax planning
  • Business structure optimization
  • Forward-looking strategy

📌 Tax preparers report the past; they don’t redesign it.

Tax Strategist: The Architect

Primary Role: Minimize taxes—legally and proactively

A tax strategist works before the return is filed. This role is about structuring income, entities, and decisions in a way that reduces taxes over time.

What they help with:

  • Entity structure (LLC vs. S-Corp, etc.)
  • Business and compensation strategies
  • Coordinating tax decisions with growth plans
  • Multi-year tax planning

What they don’t do:

  • Investment management
  • Day-to-day bookkeeping

📌 A tax strategist helps you keep more of what you earn.

Financial Planner: The Long-Term Guide

Primary Role: Build and protect wealth over time

A financial planner focuses on your personal financial goals—retirement, investments, insurance, and legacy planning.

What they help with:

  • Retirement planning
  • Investment strategies
  • Insurance and risk management
  • Estate and legacy planning

What they don’t do (usually):

  • Business tax strategy
  • Entity structuring
  • Tax compliance

📌 Financial planners focus on where your money should go next.

Why This Matters

Many business owners assume one professional “does it all.” In reality, each role serves a distinct purpose—and gaps often appear when one role is asked to do another’s job.

The most successful business owners:

  • Use bookkeepers for clean data
  • Lean on CFOs for strategic decisions
  • Rely on tax preparers for tax compliance
  • Work with tax strategists to reduce taxes and plan ahead
  • Partner with financial planners to build long-term wealth

When these roles work together, your finances stop being reactive—and start becoming intentional.

Understand that the tax preparer, tax strategist and CFO rely on the bookkeeper’s data for their work. Tax strategists, CFO, and financial planners my need to work together to help you achieve your goals.

It’s important to understand that tax preparers, tax strategists, and CFOs all rely on accurate bookkeeping data to do their work effectively. Tax strategists, CFOs, and financial planners often collaborate to align tax decisions with your broader financial and business goals.
